Description:

The preferred candidate will serve as executive assistant to the vice president of marketing and communication, supporting the vice president in all matters related to the university. This position will also handle general administrative and office management duties for the Office of Marketing and Communication.


Essential duties and responsibilities
  • Supports the vice president in the following administrative areas: communication and scheduling; research; travel arrangements; expense reconciliation; meeting arrangements and minutes
  • Handles credit card reconciliation and employee time sheet oversight
  • Supervises university telephone operator coverage and scheduling
  • Manages office functions including inventory control, supply ordering, submission of maintenance and IT requests and other issue resolution as needed
  • Maintains budget spreadsheets and manages invoices for marketing and communication department expenses
  • Maintains up-to-date library/archive of marketing and communication team deliverables
  • Composes and prepares confidential correspondence, reports and other complex documents
  • Supports vice president in preparation of board reports, cabinet meeting reports and all other metrics and reporting requirements
  • Directs preparation of records such as agenda, notices, minutes and resolutions for corporate meetings
  • Acts as project coordinator for special assignments from the vice president
  • Manage work study students and distribute work according to office needs

Requirements:

  • Bachelor's degree from a four-year college or university
  • Self-starter with executive level office and project coordination experience
  • Proven computer expertise: Microsoft Office; Internet research; Adobe Acrobat and Photoshop. Experience using  Footprints and Timeforce a plus.
  • Multitasker who is calm and composed even during extremely busy, deadline-driven projects
  • Customer service skills and ability to represent the marketing department with professionalism
  • Excellent written and oral communication skills
  • Knowledge of public relations, marketing and printing operations
